A Villa Development in Ubud, Bali is looking for a talented and enthusiastic Operations Coordinator (Full-time)
Responsibilities:
- Coordinate and supervise housekeeping, handyman/maintenance staff, gardeners and pool staff
- Implement, monitor, and continuously improve Standard Operating Procedures (SOPs) across all villas, including cleaning standards, maintenance workflows and operational checklists
- Supervise preventive maintenance schedules, daily repairs and operational reporting
- Work closely with the Accounting team on expense reporting, petty cash control and operational budgeting
- Coordinate with the Purchasing team to source cleaning materials, equipment, villa supplies and optimize inventory flow
- Support the Marketing team by providing villa updates, operational feedback, and improvement insights
- Ensure consistently high cleaning and presentation standards, with strong knowledge of cleaning materials, chemicals, and proper care of wood, marble, fabrics and other surfaces
- Train, lead, and motivate staff with a high level of professionalism and operational discipline
- Monitor guest reviews and feedback, follow up on issues and support upselling opportunities where appropriate
- Oversee day-to-day operations of all managed properties
- Control and coordinate guest check-ins and check-outs to ensure smooth arrivals and departures
- Communicate directly with guests before, during, and after their stay including requesting reviews post check-out
- Coordinate with operational teams to ensure villas are fully prepared, equipped, and guest-ready prior to check-in
- Conduct full property inspections at least every three months to ensure standards, safety and maintenance quality are maintained
- Ensure high guest satisfaction and proactively work to secure positive guest reviews
Requirements:
- Indonesian citizen
- Proven at least 3 years of working experience as an Operations Coordinator similar role
- Excellent written and verbal communication in English
- Strong knowledge of cleaning procedures, tools, chemicals and material care
- Excellent English communication and interpersonal skills
- Proven leadership experience managing multiple properties and operational teams
- High attention to detail with strong organizational and problem-solving skills
